Personal data processing policy on University of Lille websites
As publishing director and therefore data controller, the President of the University of Lille processes data collected from users of the university’s websites.
This processing is carried out in accordance with the rules laid down by European regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 and the French Data Protection Act of 6 January 1978, as amended.
It is recorded in the university register under reference no. [2021-72].

The main purpose of the processing of personal data arising from the use of these sites is to communicate with the site’s users and various groups of people affected by the objectives and duties of the public services of higher education as defined by Chapter III of the French Education Code. Its legal basis is consent(Art. 6(1) point a) GDPR).

- Cookies and trackers collected for the sole purpose of ensuring proper use of the university’s websites.
- Reserved third-party cookies to a limited number of websites that are only placed with the consent of the individuals concerned.
Cookie management
The management of cookies and trackers collected for the sole purpose of ensuring proper use of the university’s websites is carried out via the Tarte au citron application in accordance with Article 82 of the French Data Protection Act and according to the recommendations and guidelines set out by CNIL (French Data Protection Authority).
Consent to the placing of third-party cookies is obtained before the cookies are placed or read and for a maximum period of six months. This consent can be withdrawn at any time by following the link entitled ‘Cookiemanagement’, which can be found in the footer of the relevant website.
Other data
Data collected via various non-permanent forms is accompanied by specific information.
- Authorised members of the Web and Multimedia Service (Service web et multimédia; Swem) of the General Digital Affairs Department.
- The administrators of each website.
- Third-party cookie processors.
- Those in charge of implementing various forms (where applicable).
Users have the right to access, rectify and erase their personal data. You may withdraw your consent to the processing of your data at any time by clicking on the link entitled ‘Cookie management’ in the footer of the relevant website. You may also exercise your right to data portability and to the restriction of data processing.

GLPi - FusionInventory
As part of the assistance provided to its users and staff, the University of Lille is responsible for processing personal data. This processing is carried out via the GLPi platform and its FusionInventory plug-in. It is compulsory and is based on the university’s legitimate interest in guaranteeing optimal quality of service (Art. 6(1) point f) GDPR).
This system is registered with the University of Lille under number 2019-102. The Data Protection Officer is Jean-Luc Tessier(dpo@univ-lille.fr).
- When you log on for the first time, GLPI automatically collects the following data: surname, first name, e-mail address, telephone number, site and department. To this will be added the information entered in the fields proposed by the support request form (ticket).
- The FusionInventory agent will collect technical data about your equipment and the presence of software installed on it, as well as the identity of the user of the workstation. This is to update the workstation inventory in GLPi.
A ticket manager, also known as a ticketing tool, is used to respond to internal support requests. These are created by users in the form of support ‘tickets’ and forwarded to members of the IT department.
Depending on their nature, tickets are forwarded to the technical support team member best placed to help users.
A ticket may be stored for a maximum of 2 years.

If you do not receive a response to your request within one month, you may lodge a complaint with the supervisory authority (CNIL) in accordance with Article 13 of the GDPR.
Rendez-vous
The General Digital Affairs Department (Direction Générale Déléguée au Numérique; DGDNUM) processes personal data on behalf of the President of the University of Lille for the purpose of scheduling online appointments. These processing operations, which are carried out via the Rendez-vous application, are necessary for the ‘purposes of the legitimate interests’ of the university (Art. 6(1) point f) GDPR). They are recorded in the university’s declaration register under number 2021150.
The application collects data:
- relating to the identification of people who have made an appointment;
- relating to the scheduling of appointments;
- connection data.
This data is collected to enable University of Lille departments to offer all types of users an online appointment booking service.
The recipients of the data are the persons authorised by the department organising the appointment campaign.
The data will be stored for a maximum of 6 months from the date of the appointment. After this time, the data may be archived on a separate medium with limited access, in accordance with the rules applicable to public and private archives.
You have the right to access, erase and rectify your data. You may object to its processing and exercise your right to restrict it.
